Thank you for visiting User Intuition! We value your privacy. This Privacy Policy is divided into two sections:

1. General Privacy Policy — for website visitors, customers, and anyone engaging with our services in a non-participant capacity
2. Privacy Policy for Participants — for individuals participating in User Intuition feedback sessions

Section 1: General Privacy Policy

1. Introduction & Contact

User Intuition provides AI-powered qualitative research services. This section covers how we collect and process personal data from website visitors, prospective or existing customers, and anyone engaging with our Site or services in a non-participant capacity. If you are participating in a feedback session, see Section 2 below.

2. Information We Collect

Contact details: Name, job title, employer, work email (e.g., when you request demos, sign up, or create an account). Technical & usage data: Via cookies and similar technologies—IP address, browser, device, pages viewed. Marketing preferences: Data you provide when subscribing to newsletters or requesting materials. We may also obtain data from third parties or public sources.

3. How We Use Your Information

We use your information to: respond to inquiries and provide support; operate and maintain our website; send marketing where allowed; analyze and improve our Site; ensure security and prevent fraud; and for other legitimate business interests.

4. Cookies and Similar Technologies

On www.userintuition.ai, we show the cookie banner in every region until you save a choice. In the European Union, United Kingdom and Switzerland, optional analytics and visitor identification are off until you accept. In other countries, and if the country lookup fails, they are on until you reject them. We use your IP-based country to apply these defaults. Continuing to browse, scrolling, or ignoring the banner is not recorded as consent. Your saved choices override regional defaults. You can reject all optional cookies and continue using the website.

• Essential storage: We save your cookie choices, policy version, and choice date in your browser for up to 180 days. This preference is not an advertising identifier. Services you request, such as booking a demo, may use storage needed to deliver that service.
• Optional analytics: When analytics is enabled under the regional defaults or your saved choices, Google Analytics, PostHog, and Microsoft Clarity measure visits and interactions, including session replay. They may process IP addresses, device and browser information, page URLs, interaction events, and cookie identifiers. First-party storage includes Google Analytics _ga cookies, PostHog ph_ entries, and Clarity _clck and _clsk cookies. Vendor durations vary; Google's _ga cookies can last up to two years and Clarity's _clck up to one year.
• Optional visitor identification: When visitor identification is enabled under the regional defaults or your saved choices, RB2B matches website visits to company or business contact information to help us understand prospective customers and conduct relevant marketing. It uses IP, device, referring-page and browsing information and identifiers including _reb2b* and _reb2sessionID cookies, with durations from one second to one year. This tool is not loaded on our participant recruitment pages. A Global Privacy Control signal disables this category.

Use on this page to change or withdraw either choice at any time. Rejecting a previously enabled category stops its scripts on this website and clears its accessible first-party tracking storage. Browser settings can also remove cookies, including third-party cookies that our website cannot delete. These website choices do not automatically change preferences on app.userintuition.ai or third-party services. Contact privacy@userintuition.ai to request access to or deletion of previously collected personal data.

5. Sharing with Third Parties

We do not sell your personal data. We share it only in limited ways: with service providers (hosting, analytics, email, etc.) who process data on our behalf; for legal compliance or safety; in connection with business transfers; or as aggregated/de-identified data. A current list of sub-processors is published at /sub-processors/. Email privacy@userintuition.ai with subject "Sub-processor Notifications" to receive change notifications.

6. Data Storage, Transfers, and Retention

We keep personal data only as long as needed for the purposes described or as required by law. For customer account data, we retain for the duration of the relationship and delete within thirty (30) days of account closure unless law requires longer retention. Data is stored on secure cloud infrastructure in the United States. For EEA/UK access we use lawful transfer mechanisms (e.g., standard contractual clauses). Request deletion: privacy@userintuition.ai.

7. Your Rights and Choices

Depending on your jurisdiction (e.g., CCPA, GDPR), you may have rights to: withdraw consent; object or restrict processing; request deletion; rectification; access and portability. To exercise rights, email privacy@userintuition.ai. California residents: we do not sell personal information; submit verifiable requests to the same email; we will respond within 45 days.

Withdrawal of consent: Where we rely on your consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing based on consent before withdrawal. We will stop the processing that relies on the withdrawn consent; this does not automatically end processing that is required by law or supported by another applicable lawful basis. For website cookies, use Cookie settings; for marketing emails, use the unsubscribe link; for other consent-based processing, contact privacy@userintuition.ai.

GDPR requests: You may request access, rectification, erasure, restriction of processing, or data portability, and object to processing where those rights apply. We respond without undue delay and within one month of receiving a request. Where permitted for complex or numerous requests, we may extend by up to two further months and will explain the extension within the first month. We may request information necessary to verify your identity. You may complain to your local supervisory authority.

8. Security

We use encryption (TLS 1.2+ in transit, AES-256 at rest), access controls, and monitoring. See our full security posture for details.

9. Children's Data

Our website and services are not intended for individuals under 16 (or higher age if mandated by law). We do not knowingly collect data from children in this context. Contact us to request deletion if you believe we have.

10. Changes

We may update this Policy. Material changes will be posted here or communicated by email. Where a change requires new consent, we will request it before the relevant processing begins.

Section 2: Privacy Policy for Participants

1. What This Covers

This section details how we collect and process Personal Data from individuals who participate in our Feedback Sessions ("Participants"). "Personal Data" means information that identifies or relates to a particular individual under applicable data privacy laws.

2. Personal Data We Collect

When you participate (video, voice, audio, or text), we may collect: technical data (IP, device, browser); and feedback session data (recordings, transcripts, responses). We use it to conduct the session and provide insights to the customer; and to improve our platform (aggregated/de-identified where appropriate).

3. How We Share Personal Data

Your responses are shared with the customer commissioning the Feedback Session under a Data Processing Agreement. We do not sell your data or use it for targeted advertising. We share only with: the commissioning customer; service providers; or authorities if required by law. A full list of sub-processors is published at /sub-processors/.

4. Storage, Transfers, Retention

Data is stored on secure cloud infrastructure in the United States. For EEA/UK access we use Standard Contractual Clauses as the lawful transfer mechanism (consistent with Section 1 §6). We retain data for the period defined by the customer or as required by law. If no retention period is specified by the customer, data is deleted within thirty (30) days of account closure. Request deletion: email privacy@userintuition.ai with subject "Data Deletion Request." We process within thirty (30) days.

5. Your Rights

Depending on applicable law, you may request access, correction, erasure, restriction of processing, or portability of your personal data, and object to processing. Where processing relies on consent, you may withdraw that consent at any time, without affecting the lawfulness of processing before withdrawal.

You may stop participating in a feedback session at any time. To withdraw consent for further use of personal data already collected, contact privacy@userintuition.ai or the customer that commissioned the study. Include the study or invitation reference if available; do not send unnecessary sensitive information. When we act as the customer's processor, we promptly forward the request to that customer and assist it in fulfilling your rights, as described in DPA Section 8. Stopping a session alone does not automatically delete previously collected data.

For processing for which User Intuition is the controller, the GDPR response timeline in Section 1 applies. You may also lodge a complaint with your local supervisory authority.

6. Security & Changes

We use industry-standard security (TLS 1.2+ in transit, AES-256 at rest, access controls, monitoring). We may update this Policy; material changes affecting your data will be communicated. Where a change requires new consent, we will request it before the relevant processing begins.
